The Secretary works closely with assigned program and finance staff to provide efficient and effective administrative support services. Manage unit front desk, warmly greet clients, visitors and co-workers, provide direction as necessary, and appropriately respond to inquiries and requests. Assist clients with appointment sign in, registration, scheduling future appointments. Verify client insurance at time of service, handle payments from client. Perform ongoing utilization authorization management. Collect necessary data on clients receiving services, and accurately input that data into record-keeping database. Effectively manage client appointment schedules for unit. Collect and timely submit billing data to appropriate department. Perform general clerical duties to include, but not limited to, copying, faxing, mailing and failing. Answer telephone and respond appropriately. Open, sort and distribute incoming correspondence, including faxes and email. File and retrieve organizational documents, records and reports. Collect and maintain inventory of office equipment and supplies. Arrange for the repair and maintenance of office equipment. Support staff in assigned projects. Maintain knowledge of the population(s) served and awareness of the impact substance abuse and mental illness has on an individual and family. Maintain awareness of the importance of language used, and avoid stigmatizing language and conduct. Monitor and observe clients as appropriate; communicate with others regarding client risk situations. Establish a helping relationship with the client and the client’s support system. Treat clients, their support persons and staff with respect and dignity. Use good communication skills including active listening, feedback and attending behaviors with clients, their support persons and other staff. Recognize and demonstrate appropriate boundaries in interactions with clients and the clients’ support persons. Assess for and respond appropriately to client risk situations/events. Seek supervision and consultation on issues presented as needed. Maintain confidentiality in all aspects of client, staff and agency information. Maintain documentation and productivity to agency and program standards. Complete documentation in an accurate, clear, legible and timely manner to agency standards.
